Website, hosting and server logs

Our website is hosted by Hetzner Online GmbH in Germany. When you access it, the server infrastructure processes in particular your IP address, time, requested URL, HTTP status, data volume and browser and referrer information transmitted by your browser. This serves website delivery, troubleshooting and security. The legal basis is Article 6(1)(f) GDPR; our legitimate interest is reliable and secure operation. Hosting and IT service providers may receive this data as part of their tasks.

Log data is required only for as long as necessary to secure operations and investigate specific errors or security incidents. A specific incident may require further retention for investigation or legal claims.

Contact enquiries

When you contact us by form, email or telephone, we process the contact details and content you provide to handle your enquiry. The contact form collects your name, email address, optional organisation and role, and your message. It emails the information to us; the form function itself does not store it in a database. Enquiries are handled in our communication systems.

The legal basis is Article 6(1)(b) GDPR for pre-contractual or contractual enquiries. For other enquiries and communication with representatives of organisations, it is Article 6(1)(f) GDPR; our interest is responding to enquiries and business communication.

Quote and price calculator

Calculating prices alone does not require contact details. When you request a quote, we store your details (name, email address and, where provided, organisation, telephone, address and message), your configuration and the time of your consent. To prepare your quote, data is also transferred to and processed in our internal customer relationship management system (CRM).

The consent collected in the form provides the legal basis under Article 6(1)(a) GDPR. You may withdraw it at any time with future effect by contacting kontakt@present4d.de. Processing before withdrawal remains lawful. Separate statutory retention obligations remain unaffected. Consent to handling your quote request does not constitute newsletter consent.

Appointment enquiries and planned online booking

Automatic online booking through Google Calendar is currently disabled. This website does not retrieve calendar data or send bookings to Google for this purpose. You can request appointments by contact form, email or telephone; the contact enquiry notice applies.

Google Workspace is planned for future online booking. Before activation, in particular the data processing agreement, recipients and safeguards for possible international transfers will be reviewed and this notice updated. The planned booking function is limited to name, email address, appointment type, time, communication channel and language. Free-text notes and additional organisation or interest details are not planned.

Previous online bookings involved processing names, email addresses, appointment details and any optional organisation, interests and notes in our booking system and Google Calendar. Protection against abuse

For contact, quote, booking and login requests, we process IP addresses and request counters to limit abusive access. Form counting windows are up to two hours; counters are held in memory and reset on restart. Inactive entries are removed during internal cleanup. Quote requests are additionally checked against the stored email address for the number of requests in the preceding 24 hours. The legal basis is Article 6(1)(f) GDPR; our interest is preventing spam and abuse.

Cookies and browser storage

We do not use analytics or advertising cookies on public pages. Language selection is controlled by the page URL. Fonts are served locally from our website; loading fonts does not establish a connection to Google.

In the protected administration area, a login cookie provides authentication. It has a maximum lifetime of one year and is removed on logout. Administration interface preferences may be stored in the browser. Where storage is strictly necessary for the service expressly requested, it is based on Section 25(2)(2) TDDDG. Processing personal data to secure access is based on Article 6(1)(f) GDPR.

Linked videos and VR content

The YouTube video on the Studio page is an external link with a locally hosted preview image. YouTube is accessed only when the link is opened; its privacy notice then applies (https://policies.google.com/privacy). Linked VR offerings open a separate application; its own notices describe the processing there.

Retention and provision of your data

Contact, quote and booking data is needed to handle your request and, where applicable, the subsequent contractual relationship. We delete data that is no longer necessary unless statutory retention obligations or necessary retention to establish, exercise or defend legal claims apply. Documents subject to statutory retention are kept for those purposes on the basis of Article 6(1)(c) GDPR.

Providing information in our forms is voluntary. Without fields marked as required, we cannot handle the corresponding request or booking. Optional additional details are not necessary for this.

Your rights

Subject to the statutory conditions, you have rights of access (Article 15 GDPR), rectification (Article 16), erasure (Article 17), restriction (Article 18) and data portability (Article 20). You may withdraw consent at any time with future effect without affecting the lawfulness of prior processing. Contact kontakt@present4d.de to exercise your rights.

Where we process data on the basis of Article 6(1)(f) GDPR, you may object at any time on grounds relating to your particular situation (Article 21 GDPR). We will stop processing that data unless we demonstrate compelling overriding legitimate grounds or need it to establish, exercise or defend legal claims. You may object to processing for direct marketing at any time without giving reasons.

Right to lodge a complaint

Under Article 77 GDPR, you may complain to a data protection supervisory authority, particularly where you habitually reside, work or where the alleged infringement occurred. Stripe – planned online payment service

Direct online purchasing is currently disabled on this website. Merely visiting the website does not load Stripe payment elements or transmit payment data to Stripe.

If enabled in the future, Stripe Payments Europe, Limited, Ireland, is intended to handle online payments. Order details will be transmitted only when checkout starts; contact, billing and payment details will be collected in Stripe Checkout. Stripe also processes technical data for payment processing and fraud prevention. We receive order, customer and payment status data needed for fulfilment and invoicing, but not full card details.

Processing for contract performance is based on Article 6(1)(b) GDPR, or where applicable Article 6(1)(f) for business contacts. Statutory retention obligations are based on Article 6(1)(c). Stripe may process data outside the EU/EEA. Before activation, the applicable contractual and transfer safeguards will be checked and this notice updated.
